You are an engineer at Pendergrass Circuits Inc., a small electronics company in Random Lake, Wisconsin. One Wednesday evening at 8:33, while checking your company e-mail account from home, you receive an e-mail message from your fellow engineer Bart Sellers. The message reads as follows:
We’ve got a problem. I missed my connecting flight. I’m stuck here in the Bowie, Nebraska airport. Koenig is going to fire me when he finds out, but it really wasn’t my fault. I got a taxi and was on my way to the airport to catch my flight to Sallisaw, Oklahoma to install replacement chips on some recalled PGS-480 boards when the taxi driver gets a message on his radio that his wife’s just gone into labor – so he floors it for the hospital. I started asking him what he was going to do about me, but all he kept saying was “I’m having a baby!” He disappeared inside when we got to the hospital. I went and looked for him but I couldn’t find him. So I went back out to the taxi and tried to radio the dispatcher for help, but I couldn’t figure out how to make it work. It was 5:58. My plane was leaving at 6:35. Then I saw the keys in the ignition. I didn’t know what else to do, so I got in and tried to drive to the airport, but I got lost because I don’t know Bowie too well and I still couldn’t figure out how to work the radio. A rancher near the South Dakota border finally told me how to get to the airport, but I didn’t get parked and into the terminal until 8:07, and the next flight to Sallisaw on any airline doesn’t leave until 7:55 tomorrow morning. Which will put me into Sallisaw at 11:05, but I’m supposed to be at the customer’s office at 9 AM. I tried calling them but there was no answer and no voice mail and I don’t have an e-mail address for them. Can you call them and reschedule the installation? The customer is Darwin Aero Works in Sallisaw, Oklahoma. The address should be in the Darwin file. Tell Koenig that I’ll take responsibility for the taxi thing if there’s trouble. Reply as soon as possible and let me know you got this. Later.
After reading Bart’s e-mail, you find that there is indeed no answer at Darwin Aero Works (though they do have voicemail), and you know from experience that Darwin usually does not answer e-mail quickly (though you do have their email address: Rex Koenig, your boss, is two hours away at an IEEE dinner, and your calls to his cell phone have gone unanswered (though he does have voicemail); he apparently cannot be reached until he gets to work at 8 AM tomorrow (though you do, of course, have his email address: Furthermore, you are leaving tomorrow at 5:30 AM on a six-hour flight to Nova Scotia to assist a new customer with an installation.
ASSIGNMENT: What should you do? For however you approach the situation, write the emails and/or voicemail transcripts required. Regardless of how you handle the situation, consider well which details are essential and which ones are not. Think carefully about professional ethics: what are your professional responsibilities in this situation, and to whom are you responsible? Ensure that your documents look and read like professional correspondence. Do not waste time worrying about anything “farfetched” – handle the problem as it lies.

E-mails often are regarded as an informal type of correspondence; however, while e-mail correspondence can be less formal than a professional letter or a technical memo, the level of formality and tone still needs to be appropriate for professional correspondence.
Guidelines for Writing E-mails
•Avoid sending the first publish of an e-mail—revision and proofreading are important steps for any type of writing.
•Use e-mail for its intended purpose within a professional setting. You should avoid sending jokes and other inappropriate material using a business e-mail account.
•Be concise in your content.
•Send e-mails only to the people who need to read the content.
•Adhere to proper grammar, punctuation, and spelling rules to write formally and correctly.
•Be as specific as possible in the subject line of your e-mail.
•Avoid using all UPPERCASE letters; reading regular type that uses both uppercase and lowercase letters is easier for your audience. Do, however, use uppercase letters for emphasis rather than using boldface, italics, or underlining (your recipient’s e-mail software may not accommodate this type of underscoring).
•Avoid using emoticons or abbreviations (e.g., BTW for “by the way”) in professional and business e-mails.
•Respond to e-mail messages in a timely fashion.

•Instead of organizing your message into one large paragraph, break your text into short paragraphs.
•If your text is particularly dense, consider providing an introduction or overview at the beginning of your e-mail, in which you offer a structural preview of the e-mail’s content.
•Use the attachment feature to send documents that contain material that might not translate accurately within the text body of the e-mail (e.g., charts or bulleted lists).
•If your e-mail is serving as a traditional letter, use the appropriate salutation (e.g., Dear Mr./Mrs./Ms./Dr. Smith:) and closing (e.g., Sincerely,).
